The Challenge

Pulltex is a leading brand in wine accessories, famous for its iconic double-lever patented corkscrew. With over twenty years of experience, the company has established itself as a go-to partner for a high-profile B2B clientele, including wineries, consortia, distributors, and the most prestigious Italian wine brands. Pulltex's strength lies not only in product quality but also in its extensive network of sales agents managing relationships across the territory.

Pulltex's sales process is complex and highly customized. Managing customer records, assigning customers to their respective agents, creating proforma invoices for bespoke orders, and tracking deals were all handled on different, non-communicating systems. Specifically:

  • HubSpot CRM was used for deal tracking but was not optimized for managing agents and their respective customer databases.

  • Proforma invoice creation happened on a separate system or through spreadsheets — a slow, error-prone process disconnected from CRM data.

  • Agent-customer pairing was difficult to track centrally, making it hard to get an overview of sales network performance.

This fragmentation created significant inefficiencies, slowed the sales cycle, and prevented management from having a clear, real-time view of the commercial network's operations. The challenge was to create a single tool capable of centralizing these operations while integrating seamlessly with HubSpot to form a fluid, coherent sales ecosystem.

The Solution

We developed a bespoke web application — a management hub bridging the operational needs of the sales network with HubSpot's strategic data. The platform was designed to be the daily reference point for agents and administration, simplifying processes and centralizing information.

Key Modules and Features

The platform is structured into clear, intuitive modules based on Pulltex's real operational needs:

  • • Customer and Agent Management: A dedicated section for centrally managing complete customer and agent records. The key feature is the ability to uniquely track every customer-agent pairing, providing clear territory and responsibility mapping.

  • • Proforma Invoice Generator: A module enabling agents to generate proforma invoices in just a few clicks. The system allows duplicating existing offers, selecting customers and products from pre-loaded databases, and applying customized payment terms. This has standardized the offer process, eliminated errors, and drastically reduced creation time.

  • • Native HubSpot Integration: The true heart of the solution. The platform does not replace HubSpot — it enhances it. Through bidirectional API integration, the platform:

    • Synchronizes customer data between both systems, ensuring consistency.

    • Imports "Deal Owners" from HubSpot, aligning commercial activities with CRM data.

    • Sends generated proforma invoices to HubSpot, enriching deal history with concrete commercial documents and enabling complete sales cycle tracking.

Data Security

Protection of sensitive commercial information was a priority:

  • Role-Based Access (RBAC): Multiple access levels. Each agent can only view and manage their own customers and proforma invoices, while administrators have full visibility across the entire sales network.

  • Encrypted Communications: All platform interactions use HTTPS protocol.

  • Secure API Integration: The HubSpot connection uses secure authentication tokens following integration best practices.

  • Backup and Disaster Recovery: Regular automated backups ensure data integrity and recoverability.
