The Challenge

Grimaldo Firenze is a jewellery maison that embodies the excellence of Florentine goldsmithing. Every piece is handcrafted in the city's ateliers using materials sourced transparently, following a philosophy of local, responsible production. The collections — Chandelier, Palazzo, Corda, Viaggio — tell stories of elegance and refinement, distributed through a select network of boutiques and resellers in Italy and abroad.

Managing such a multifaceted business, however, posed significant challenges. Customer, reseller, and supplier records were scattered across unintegrated tools. Order tracking, from receipt to shipment, was semi-manual, with a risk of errors and delays. Inventory management for individual collection pieces — each unique and identifiable — required a precise system to know at any moment where each jewel was located: available, sold, or in transit.

A particularly critical aspect concerned the generation of authenticity certificates — essential documents in the world of luxury jewellery that attest to the originality and characteristics of each piece. Manual creation of these certificates was a laborious, error-prone process. Finally, resellers lacked a dedicated digital channel to place orders, check stock availability, or access promotional materials, limiting collaboration efficiency and sales opportunities.

The Solution

We developed "Grimaldo Warranty Handler", a tailor-made management platform that digitizes and centralizes all maison operations, becoming the central nervous system of the business. The platform was designed to reflect the brand's uniqueness and support the specific processes of the luxury jewellery sector.

The contact management module provides a complete, unified view of end customers, resellers, and suppliers. Each record collects contact details, transaction history, agreed commercial terms, and past communications, enabling differentiated relationship management by type.

The order and inventory management module tracks every single collection piece through a unique identifier. The system records each jewel's location (in warehouse, at a reseller, sold), order status, and all movements. Automatic shipping document (DDT) generation simplifies shipments and ensures traceability.

The automatic authenticity certificate generation is one of the system's standout features. With just a few clicks, staff can generate professional, customized certificates for each sold piece, complete with all technical information and jewel characteristics. This previously laborious manual process is now instant and error-free.

The reseller portal completes the ecosystem, giving commercial partners dedicated access to browse the up-to-date catalogue, check real-time stock availability, place orders directly online, and download promotional materials in digital and print-ready formats. This channel has transformed reseller collaboration, making it smoother, more transparent, and more productive.

Data security was designed to protect extremely valuable information: an exclusive clientele's records, reseller partner data, individual collection piece details, and the authenticity certificates attesting to jewellery genuineness. The system implements end-to-end encryption for all communications and AES-256 encryption for stored data. Access is protected by strong authentication with two-factor authentication (2FA) support. The reseller portal uses individual credentials with partner-specific permissions. Generated authenticity certificates are protected by a digital signature system ensuring integrity and preventing counterfeiting. All access and operations are recorded in immutable logs. The system is fully GDPR-compliant with automated data access and deletion request handling. Encrypted daily backups with geographically distributed data centre replication ensure data protection and operational continuity.
