Swing Studio 22 is a dance school specializing in swing dances: Lindy Hop, Boogie Woogie, Blues, Balboa, Solo Jazz and Tap Dance, plus wellness classes such as Pilates and Stretch & Mobility. It was founded by Antonio and Elisa, and it quickly became a reference point for enthusiasts: courses for every level, workshops with international teachers, private and group lessons, events and festivals that draw dancers from all over Italy.
We have worked with the school since it opened, starting with the website: online enrollment and payment in a few clicks, plus a members' area where students find teaching materials and announcements. As the school grew, though, the problem moved behind the scenes.
The challenge: too much admin, too little time to teach
The more the school grew, the more hours Antonio and Elisa spent on administration, taking time away from teaching and from the community. The pain points were the ones anyone who runs a membership business knows well:
- Enrollments lived in Excel sheets that were getting more complex and harder to keep up to date.
- Payments were tracked by hand, with the risk of something slipping and no clear view of the finances.
- Receipts had to be prepared one by one.

Each student has a profile with personal details, contacts, enrollment history, payments, medical certificates and preferences. You can see a person's situation at a glance, without opening three different files.

The module covers the whole cycle: enrollment, payment, renewal. It supports several payment options (single fee, installments, passes) and generates receipts automatically, so the manual work on receipts is gone.
Medical certificates with automatic expiry tracking
This is the most appreciated feature. The system knows when each certificate expires and, as the date approaches, sends the student a reminder to renew it. Staff no longer have to check lists by hand.
Targeted messages
You can send messages to specific groups of students, filtered by course, level, enrollment status or other criteria. A schedule change reaches only the people affected, and an event is promoted to the right audience.
Security of health and payment data
Management software for a dance school handles sensitive data: personal details, medical certificates (health data, which gets stronger protection under the GDPR) and payments. Communications are encrypted with TLS and stored data is encrypted. Medical certificates are kept in separate partitions, accessible only to authorized staff. Admin logins support two-factor authentication, and permissions distinguish between managers and assistants. Payment data is not stored in the system but goes through PCI-DSS certified gateways.
