AI assistant inside jewellery management software: Aurelia Hub answers in read-only mode
Inside Aurelia Hub, the software we develop for jewellers and watch retailers in Germany, we added an AI assistant that answers questions on company data and prepares exports within each user's permissions, plus automatic reading of supplier invoices.
The Challenge
Aurelia Hub is the management software Selli develops for jewellers and watch retailers in the German market: point of sale, serial-number stock, repairs, CRM, used gold and certified pre-owned watches, exports for the tax adviser. It is a live product used by jewellers in Germany.
As the modules grew, two requests came up.
The first was about everyday questions. "How many Rolex watches did we sell this year?", "Which repairs have been open for more than 30 days?", "How do I close the till?". Answering meant knowing the software well or asking someone who did. And whoever asks must not see more than their role allows: a workshop technician should not read revenue or purchase prices.
The second was about invoices from watch suppliers. Every delivery had to be typed in line by line, with references and codes that are hard to read on scans.
The Solution
An assistant that reads but never writes
There is a "KI-Assistent" button in the interface. Users type a question in German or English and the assistant turns it into queries on 26 data sets: sales, sale lines, repairs, stock, spare parts, suppliers, customers, appointments, gift cards and more.
We designed the limits before the features:
- Read-only. Every query runs in a read-only transaction with a time limit, and any statement that is not a read is rejected before it reaches the database.
- Same permissions as the interface. If a user cannot see purchase prices or revenue, neither can the assistant. A field that is not allowed is an explicit refusal, not an empty column.
- Sensitive data left out. Sensitive columns are never declared to the model, so for the model they do not exist. Gift card codes are never shown.
- Conversation log, to see what was asked and how it was answered.
The assistant also explains how to use the features active for that user and produces Excel, PDF or CSV exports with the shop's logo, header and totals. Files stay private, expire after seven days and can only be downloaded by their author.
To check quality we wrote an evaluation set of 40 questions in 13 categories, with expected answers, which runs again whenever the prompt or the model changes.
Automatic invoice reading
The second part reads supplier invoices and delivery notes with AI and proposes the lines to book into stock. No line goes in without a person confirming it. For German customers the model runs on AWS Bedrock in the Frankfurt region, so data and inference stay in the European Union.
What we take to other projects
An assistant inside management software works when it inherits the software's permissions and when someone measures its answers. We use the same approach for AI agents for companies. The underlying software is described in the Aurelia Hub luxury retail case and on the page about jewellery management software.
